One project per job, and one place to look
Freelance project management does not need a sprint board. It needs one page per job that says what is done, what is next, and what you are waiting on the client for - and it needs the client to be able to see that page without messaging you.
Tasks with deadlines and private notes
Break the job down as far as it is useful to. Each task takes a deadline and notes that stay yours - the working thinking a client does not need and should not see.
- Deadlines that surface on your dashboard, not just in the project
- Notes that are private to you
- Reorder as the job changes, because it will
Progress the client can watch
Completed tasks drive the progress bar on the client's portal. It updates as you work, which quietly answers the question they would otherwise ask you every few days.
Mark what you are waiting on them for
Some tasks are not yours. Flag them as the client's and they appear on their side too - so a job stalled on a missing brand asset is visibly stalled on the missing brand asset, and the deadline conversation is a short one.
And a board for the work with no client
Chasing the accountant, renewing the insurance, rewriting the rate card: real work that belongs to no project. Personal tasks sit on the same board as project ones, in four columns you move them between, so your list is finally the whole list rather than the client-facing half of it.
- Client-owned tasks show on their portal
- The reason a job is late is on the record
Common questions
- Is there a limit on projects?
- No. Unlimited clients, projects, tasks and invoices, on the free plan, which is the only plan.
- Can I use it for retainer work rather than one-off jobs?
- Yes - a project can be a month, a phase or an ongoing engagement. Time tracking and invoicing work the same either way.
