For independent caterers
Menus get revised, headcounts move twice, and the dietary requirements arrive the week before. Every one of those is a number on an invoice, so every one of them needs a record.
Events, with the menus as deliverables
Pick Caterer in settings and jobs become events with an event date. New ones start with Proposed menu, Final menu and Dietary requirements as separate sets, so an early idea is never mistaken for what you are cooking.
The final menu, approved in writing
Require sign-off on the final menu. The approval is recorded with a name and a timestamp, which ends the conversation that begins with we thought it was the other one.
Priced per head, not per guess
Invoice lines carry a quantity and a unit price, so a hundred and twenty covers at a rate is one line that recalculates when the number changes. Quantities are held precisely, so half-portions and part-days do not drift by a penny.
Deposit now, balance after
Send a quote, convert it on acceptance, take the deposit and bill the balance against the same event. Anything overdue chases itself.
